These Terms & Conditions apply to all Forest Bathing and other nature-based experiences provided by The Quiet Canopy. Please read them carefully before booking. By booking or attending an experience with The Quiet Canopy, you agree to these Terms & Conditions.
1. Booking and registration
When you book an experience, you may be asked to provide certain information, including your contact details and an emergency contact.
To help us understand whether the experience is suitable for you, we may also ask if there are any relevant health, access or mobility considerations that you would like us to know about. Please answer these questions fully and honestly and provide information that is relevant to your safe participation.
Any personal information you provide will be handled in accordance with our Privacy Policy and used only for the purposes for which it has been collected.
2. Who can attend
Unless otherwise stated, The Quiet Canopy experiences are designed for adults aged 18 and over.
Some experiences may occasionally be created specifically for families, children or younger groups. Where this is the case, the relevant age requirements will be clearly stated in the event description.
Dogs and other pets are not permitted unless explicitly stated otherwise.
3. Accessibility and physical participation
Forest Bathing is a gentle, slow-paced experience. However, sessions take place outdoors and may involve walking over uneven natural terrain, standing for periods of time, and sitting or lying on the ground.
Depending on the location and experience, we may cover approximately 1–2 kilometres at a very slow pace, with frequent pauses.
The terrain and accessibility of each location varies. If you have mobility limitations, an injury, disability or any other access requirements, please contact us before booking so that we can discuss whether the experience is suitable and, where possible, make reasonable adjustments.
We want our experiences to be as welcoming and inclusive as possible, but some woodland locations may not be suitable for all levels of mobility.
4. Your health and wellbeing
Forest Bathing and other experiences offered by The Quiet Canopy are intended to support connection with nature, sensory awareness and personal wellbeing. They are not a substitute for medical, psychological or other professional healthcare.
By taking part, you are responsible for deciding whether you are well enough to participate in the experience.
If you have a medical condition, are taking prescribed medication, are pregnant, have an injury, mobility concern, severe allergy or any other health-related concern that may affect your participation, you should seek appropriate professional advice where necessary and let us know before the experience.
Forest Bathing is not currently considered suitable during the first trimester of pregnancy, and we ask that you do not attend our sessions during this period.
If you have a medical condition or other health-related concern, informing me in advance will help me understand whether the experience is appropriate and enable me to take relevant precautions.
Forest Bathing can sometimes be a reflective or emotional experience. As we slow down and spend time in nature, thoughts or feelings may arise unexpectedly. You are always free to pause, adapt an invitation, take time for yourself or speak to your guide if you need support.
Participation in an experience with The Quiet Canopy does not involve therapy, counselling or medical treatment.
5. Outdoor environment and possible risks
All outdoor activities involve an element of risk.
Our experiences take place in natural environments where you may encounter uneven ground, tree roots, branches, mud, slippery surfaces, slopes, insects, plants and changing weather conditions. Depending on the location, we may also encounter members of the public, dogs, horses, cyclists and other activities.
The Quiet Canopy will take reasonable care to identify and manage foreseeable risks and will provide guidance throughout the experience. However, participants are responsible for taking reasonable care of themselves, following the guide's instructions and making sensible decisions about their own participation.
Please tell your guide if you become uncomfortable, unwell or concerned at any point during the session.
Nothing in these Terms & Conditions is intended to exclude or limit liability where it cannot lawfully be excluded or limited.
6. Clothing and what to bring
Our experiences take place outdoors in a range of weather conditions.
Because Forest Bathing involves moving slowly and spending periods of time sitting, standing or resting in one place, you may feel cold even on relatively mild days.
Please wear clothing suitable for the weather and the outdoor environment. We recommend:
comfortable layers that will keep you warm and dry
long trousers and long sleeves where appropriate
a waterproof jacket if rain is expected
sturdy, enclosed footwear with good grip
a hat, gloves or additional warm layers in colder weather
water and any food or personal medication you may need
sun protection where appropriate.
For experiences involving a period of rest or guided relaxation, you may also be asked to bring something waterproof or insulating to sit or lie on. Specific requirements will be included in the event information.
For your safety, The Quiet Canopy reserves the right to refuse participation if, in the reasonable opinion of the guide, a participant is not appropriately dressed or equipped for the conditions. If this happens, we will not normally be able to offer a refund.
7. Weather and changes to an experience
The Quiet Canopy experiences are designed to take place outdoors, and we welcome the changing character of the seasons and weather.
Sessions will usually go ahead in rain or other ordinary weather conditions. However, we may need to cancel, postpone, shorten, relocate or adapt an experience where conditions are unsafe or where circumstances beyond our reasonable control make it impractical to proceed.
This may include, but is not limited to, high winds, thunderstorms, extreme temperatures, flooding, unsafe ground conditions, access restrictions or other safety concerns.
We will always aim to give as much notice as reasonably possible.
8. Cancellation or postponement by The Quiet Canopy
Occasionally, we may need to cancel or postpone an experience. This may happen because:
weather or environmental conditions make it unsafe to proceed
access to the location becomes unavailable or restricted
the guide is unwell or otherwise unable to lead the session
the minimum number of participants has not been reached
circumstances beyond our reasonable control prevent the experience from taking place.
If we cancel an experience, you will be offered the choice of transferring to another available date or receiving a refund of the ticket price paid.
Where an experience is postponed or significantly changed, we will contact you with the available options.
We are not responsible for any additional costs you may incur as a result of cancellation or postponement, such as travel, accommodation or other personal expenses.
9. Cancellation, refunds and transfers
The Quiet Canopy experiences are intentionally kept small. As places are limited, cancellations can have a significant effect on the viability of an event.
If you can no longer attend, please let us know as soon as possible.
You may request a refund or transfer your booking to another available experience up to 7 days before the scheduled start time.
Requests made less than 7 days before the experience are not normally eligible for a refund or transfer.
However, if your circumstances change unexpectedly, please contact us. Where we are able to fill your place, we may, at our discretion, offer a transfer to another experience.
You may also transfer your place to another person, provided that:
you let us know in advance
the replacement participant meets any eligibility requirements for the experience
they provide any information required for their safe participation.
No refund will normally be provided for non-attendance, late arrival or voluntary withdrawal from an experience once it has begun.
Nothing in this policy affects any rights you may have under applicable law.
10. Late arrival
Our experiences begin at the stated start time.
To protect the experience for the rest of the group, we may be unable to wait for late arrivals or to return to the meeting point once the group has set off.
If you think you may be delayed, please contact us as soon as possible. We will do our best to help where reasonably possible, but we cannot guarantee that you will be able to join the group.
No refund will normally be available if you miss an experience because of late arrival.
11. Photography and filming
From time to time, The Quiet Canopy may take photographs or short films during an experience for use in promoting our work, including on our website, social media, newsletters and printed materials.
We will seek your consent before using identifiable images or recordings of you for promotional purposes.
You are under no obligation to consent. Choosing not to consent will not affect your booking or your ability to take part in the experience.
If you have given consent and later change your mind, please contact us. We will stop using your image in future promotional materials where reasonably possible, although we may not be able to remove images from materials that have already been printed, published or distributed.

12. Respect for place
The Quiet Canopy works in natural environments that are shared with wildlife and other people.
Participants are asked to follow any guidance provided by the landowner, site manager or guide, and to help us leave the place as we found it.
13. Changes to these Terms & Conditions
We may update these Terms & Conditions from time to time.
The version in place at the time of your booking will normally apply to that booking unless a change is required by law or is made for safety or other reasonable operational reasons.
